The event needed to combine inspiring content, exceptional hospitality, and smooth logistics for guests travelling from nearly every continent. From venue sourcing to final execution, our role was to manage every detail.
Lyra wanted more than a conference – they wanted a gathering that felt personal, thoughtful, and deeply connected to the spirit of Lisbon. With guests flying in from across the world, our challenge was to create a programme that balanced structured content with opportunities to explore, unwind, and genuinely connect. For the second year working with Lyra it was essential to get stuck in as we learned and fully understood all their requirements and wants.
Lisbon is a city full of character, but also full of demand. Securing the right venues, hotels, and suppliers required careful planning and early coordination. We began with an extensive venue search, exploring conference spaces, dining locations, and off‑site experiences that could support a four‑day journey without feeling repetitive.
From the moment guests landed, our focus was on making the experience feel effortless. Smooth transfers, warm welcomes, and a clear flow to each day helped set the tone for a week that felt both organised and relaxed.
Delegate management was central to the project. We coordinated RSVPs, accommodation, and on‑site support to ensure every guest felt looked after…whether they were arriving from South Africa, Europe or North America!
The conference itself unfolded across multiple Lisbon venues, each chosen for its atmosphere and ability to support Lyra’s programme of keynotes, workshops, and collaborative sessions. Production was designed to be polished but not overwhelming – a setup that elevated the content while keeping the environment warm and human.
To give guests a deeper connection to the city, we curated a series of cultural experiences woven throughout the itinerary. One of the highlights was a luxury Pastel de Nata teambuilding workshop, where delegates learned the craft behind Portugal’s most iconic pastry. It was hands‑on, light‑hearted, and a brilliant way to bring people together outside the conference room.
We wanted guests to feel like they were truly experiencing Lisbon, not just visiting it.
The pinnacle of the week was the Gala Evening at The Village, Páteo Alfacinha, a venue designed to feel like stepping into old‑town Lisbon. Cobbled pathways, traditional architecture, and intimate courtyards created a magical backdrop for the night.
Guests were welcomed by traditional Portuguese musicians and dancers, creating an atmosphere that felt authentic, warm, and full of character. For many who had travelled long distances, this evening was a chance to experience the heart of Lisbon in a way they would never have discovered on their own.
The gala blended culture, entertainment, and celebration: the perfect finale to a week of learning and connection.
The conference opened with a relaxed welcome drinks and canape reception, giving guests time to settle in and reconnect after long‑haul travel. Over the next four days, delegates moved through a programme of keynote sessions, collaborative workshops, and strategic discussions, supported by a full production team and on‑site coordination.
