Create and organise a 3-day conference and Gala dinner overseas in Barcelona within an 8-week timeframe for guests travelling from almost every continent!

01Challenge

We love getting ourselves stuck in, and from the initial planning, we were ready to help provide and support unique and fun ideas to help elevate their conference.

With the short lead time, we jumped into action to create a bespoke app and registration platform, making sure every delegate had clear, seamless communication and a smooth experience from invitation to event day.

Alongside the key focus of Delegate Management, we also needed to ensure that all the supplier management was managed to a T! With this, we sourced several suppliers for all elements, including the best AV Production solution for the conference that would be suitable and fit alongside the modern and fresh feel of the client.

Another major element of the event was ensuring all the branding was of high quality and aligned, and all the big and small touches were thought of to make this a fully streamlined and high-quality event from the pre-event app management all the way through to the goody bags and the event branding across the board.

On the final evening, we also organised a Gala Dinner off-site, which included sourcing the perfect venue in advance and undertaking site visits together. Half the team were on-site at the Gala dinner doing the build, organising the catering logistics, entertainment, and everything else whilst the conference was going on for the guests.

02Delivery

We were super excited to produce this globally, especially in sunny Barcelona! With the short turnaround, we worked tirelessly to ensure we had completed our due diligence before contracting the best local suppliers for the project.

This consisted of research, face-to-face meetings, and virtual meetings for all potential partnerships. It’s important to us to ensure the quality and standards we set are reflected no matter where we go.

We conducted weekly meetings with all suppliers in the run-up to the event and ensured the project was slick, on time, fine-tuned, and ready for delivery. We provided full RAMS, method statements, and insurance checks on every supplier/crew member.

The conference was equipped with state-of-the-art AV technology. Sessions included keynote speeches, panel discussions, and interactive workshops tailored to the client’s objectives. A dedicated help desk was available throughout to assist delegates with app navigation, schedule queries, and networking opportunities.

The Gala Dinner was hosted at a gorgeous and unique venue, featuring a carefully curated menu, live entertainment, and a exciting entertainment that maintained consistency with the conference’s theme. Transport logistics were managed to ensure a seamless transition for guests between the conference venue and the dinner location.

Conclusion

Post-event, we conducted a detailed debrief and feedback collection process to assess successes and areas for future improvement and for the client to understand their ROI. This included analysing engagement data from the app, supplier performance reviews, and attendee feedback surveys to refine best practices for future international events. The feedback was incredible, and we are already planning 2025!
